Delinquent Taxes Software

The following instructions are to be used if you pay your taxes off at the time of the sale. Having the capability of getting customers out quickly at a delinquent tax sale is usually a concern. Due to this and given the time it takes to set up the parcels for a tax sale in the computer system, you may want to hand-write receipts at the time of the sale.
The instructions below will guide you as to how to spread and receipt the tax sale money properly.
If the land sells for the tax price and no more, go into tax payment and receipt each past due tax individually (could possibly have different years on one parcel), changing the received from to the person buying the parcel. You will then need to add a sold file to the history file in Parcel Handler. Do not do a receipt in the sold file option. Only add the bidders name, address, and bid amount.
If the land sells for more than the taxes due, you have overage to receipt in addition to the taxes. If there is more than one year on a parcel, receipt all of the years except one as usual. To receipt the overage, you will need to do the following:
You will need to add a tax fee code in control files to receipt the overages into if you do not already have one set up, leaving the amount owed blank. This tax code will need to be set up to hit the general ledger deposit account with a sub-function. It is helpful if the sub-function identifies the year of the sale. (Ex: 26100- - -03SAL- ).
You will now need to go to 3. Processing, A. Service Process, B. Individual process and select a parcel that has overage to be receipted. You may do this alphabetically or numerically, whichever you prefer.
When prompted for type of service, answer D. Miscellaneous. Now add the tax code for overages and make the amount owed the overage amount (do not type in the total amount of the bid). You will need to do this for each parcel sold that will have overages to be receipted.
You now have the option of adding the sold file in Parcel Handler, or receipting the parcel in Tax Payment. If you add the sold file first, be sure to answer ‘No’ when asked if you want to receipt from this option. Receipt the money under Tax Payment.

Real and Personal taxes turned over to the Clerk and Master's office from the trustee's office can be written to the same diskette and loaded on the clerk and master’s system if they are the same year. If they are not the same year, they need to be on separate diskettes (ask your trustee's office to create these separately) and loaded separately. For instructions to load these on the Clerk and Master system, please call LGDPC phone support and specify that you have real and personal with different years.

The best thing to do before you create the entity code is to print a Entity Code report. This can be found under number four in the Delinquent Tax software, letter A. You should be able to go by this report to help set up the new entity code for the taxes being turned over this year. Keep in mind that the docket number, tax year and BPD will be different.

Most likely, the taxes did not load correctly on the diskette or on your system and the file that was left in your files directory from last year was used. To correct this, a recent backup of your files will need to be loaded. Please call LGDPC support to have this done.
