GENERAL INFORMATION
  • Entering the correct information into the appropriate fields of the TNCIS Case Management System creates an accurate TJIS report.


  • TJIS is not just the report that is produced at the end of each month.

REPORTING CORRECT DOCKET NUMBER
  • Cases should be filed and disposed with same docket number
  • Changing the system generated number can create multiple issues in reporting to TJIS

  • Three ways for docket number to report to TJIS are:

REPORTING CORRECT FILE DATE
  • When entering a case filed prior to current date, you must change the file date to avoid a default of today’s date.


  • Filing date cannot be greater than disposition date.

CIVIL REOPEN FILINGS
    • The original case must be disposed BEFORE a case can be reopened.
    • When entering  the file date for the reopen case, choose the correct TJIS filing type for the reopen.
    • Make sure that the file date is the date of the re-open, not the original filing date.

PROBATION VIOLATIONS
  • When filing a PV use the correct TJIS filing type and enter the file date of the PV.

MARKING PARTY AS A JUVENILE
  • When a case is appealed from juvenile court to criminal court, it is extremely important to flag a minor party as a juvenile in TnCIS.  This flag alerts TJIS to remove all identifying information from the record.

TIME REPORTING PERIOD
  • Reporting period ends on the last day of each month.
  • The date on the TNCIS batch creation screen must be entered as the last day of the month when running the TJIS batch.  This ensures that the file will contain data through the end of the month.

TJIS ROLLBACK FEATURE
  • Rollback can be a useful tool.
    This tool should only be
    used with extreme caution.
  • Local Government support staff can perform this function but please discuss this with the AOC staff first.
